Terms of employment:  200-day Calendar.

 

Qualifications:

  1. High School diploma or equivalent required. Two years of college preferred. 
  2. Secretarial skills. 
  3. Proficient knowledge of Microsoft Office.
  4. Knowledge and experience in basic office procedures and small office equipment.  
  5. Must have excellent communication and telephone etiquette. The ability to work successfully with other professionals. 
  6. Such alternatives to the above qualifications as the Superintendent of Schools may find appropriate and acceptable.

Responsibilities:

  • Prompt and regular attendance.
  • Maintain confidentiality and professionalism regarding student and school system affairs.
  • Receives and processes all mail and money that comes into the guidance office.
  • Handles student withdrawals as well as collects and maintains all paperwork in Cohort Documentation Notebook.
  • Works with the Registrar to maintain and verify student withdrawal codes and proper documentation for the CCRPI Cohort Report for the state DOE.
  • Receives records request and sends records to requesting schools on all withdrawn students.
  • Maintains vault security and organization, especially permanent records.
  • Coordinates and sends permanent records to Record Retention Center. Maintains Record Retention notebooks.
  • Advertises and distributes information to students on all scholarships.
  • Schedules appointments with counselors for students.
  • Distributes, collects, and maintains all Final Transcript Intent forms for seniors.
    NOTE: Final Transcript Intent forms collect data from all seniors on post-secondary plans such as college attending, military, job force, etc.
  • Sends transcripts (once reviewed and signed by counselors) to colleges for all seniors.
  • Maintains notebook of transcripts on all seniors.
  • Handles all special paperwork produced from the guidance office including but not limited to 1.) Letter of enrollment verification for DFACS, 2.) House Bill 91 diploma petitions and transcript research from Records retention, 3.) Social Security benefits enrollment verification, etc.
  • Enters ACT/SAT scores into PowerSchool and maintains notebook of test results.
  • Performs such other tasks and assumes such other responsibilities assigned by the principal or Superintendent of Schools.

  • Two (2) electronic references from previous supervisors; automatically sent to listed references when application is submitted.  (Note: one of the references must be from the most recent or current immediate supervisor);
  • Copy of valid certificate, diploma(s), transcripts, test reports, and other relevant information (information may be uploaded to online application);
